Plan, coordinate, and execute engaging member events, activities, and social programs that bring our community to life.

Create, manage, and distribute all Banquet Event Orders (BEOs) for member events—ensuring every detail is accurate, complete, and on time.

Attend weekly BEO meetings with the management team to align on upcoming events and ensure seamless internal communication.

Develop concepts, décor, layouts, timelines, and agendas that complement our signature lodge-style atmosphere.

Coordinate all event logistics, including setup, entertainment, vendors, supplies, and staffing support.

Create event registration forms, manage RSVPs, monitor attendance, and build thoughtful seating or table assignments.

Communicate event details clearly with internal teams to ensure flawless service and smooth execution.

Serve as a polished, welcoming presence at events, embodying the warm hospitality Wilderness Ridge is known for.

Build strong relationships with members to better understand their interests and create programming they love.

Develop new traditions, seasonal offerings, and family-friendly programs that enhance member engagement and retention.

Support children’s programming and multigenerational activities that make Wilderness Ridge a place for families to connect and thrive.

Partner with the Communications & Marketing team to promote events through newsletters, social media, and internal club channels.

Provide accurate event details, photos, recaps, and highlights for club communications.

Ensure all marketing materials align with Wilderness Ridge’s brand standards and voice.

Coordinate entertainment, speakers, instructors, and special guests for member events.

Build positive relationships with local vendors, entertainers, and community partners.

Ensure contracts, licenses, permits, and required documentation (such as music or film licensing) are secured before events.

Assist with event billing, fee collection, and accurate postings to member accounts.

Maintain organized event history files and support development of the annual club events calendar.

Track expenses and assist in managing event budgets effectively.

Perform other duties as needed to support members and the success of our events.

2+ years of experience in hospitality, event coordination, or member services (private club experience strongly preferred).

Bachelor’s degree in Hospitality Management, Marketing, Business, or related field preferred.

Exceptional organizational skills with the ability to manage multiple events and timelines at once.

Excellent written, verbal, and interpersonal communication skills.

Creative mindset with a passion for delivering meaningful, memorable experiences.

Ability to work a flexible schedule—including mornings, evenings, weekends, and holidays.

Proficiency in Microsoft Office; experience with event management software is a plus.
